How Lineup Ninja powers Event Tech Live and Event Sustainability Live’s speaker programmes
We’re extremely proud to work with Event Industry News to help them deliver the speaker programmes for Event Tech Live and the debut edition of Event Sustainability Live.
This is the 5th year running that we’ve worked with the Event Industry News team, so I thought I’d mark the anniversary by sharing what we’re doing for their London events this year.
For ETL and ESL their process is split into 4 phases:
1. Content acquisition
2. Planning
3. Confirmation
4. Delivery
My co-founder, Joe is hosting a panel discussion “Tech Adoption: Horror Stories and Hot Tips” at the show, so let’s take a look at how his session made it’s way from application through to delivery.
Content Acquisition
The team ran an open ‘Call For Papers’ process, where speakers could offer their session pitch and supply the speaker details like contact information, headshots and bios.

They then reviewed the submissions using our review tools to choose which ones to accept, which to work on further, and which weren’t going to make the cut for this year.
Agenda Planning
Once the pick of the best submissions had been chosen, the agenda planning took place. This used Lineup Ninja’s unique scheduling capabilities to pull a complex agenda together quickly and reliably.

The planning tools quickly highlight the status of each session in simple Red, Amber, Green status colours. The team can then identify problems quickly and work towards a nice green agenda that they know will be successfully delivered at show time.
Speaker Confirmation
Once the sessions were scheduled the speakers were notified of their session times via our Speaker Confirmation tools. This works by emailing speakers and asking them to click a link to review their session time and details and confirm they are ready to proceed.
This process also enabled the team to meet their GDPR needs regarding things like having explicit permission from each speaker to record their sessions and similar uses of their data.
The speakers interacted with these requests via Lineup Ninja’s Speaker Portal, a one stop location for speakers to interact with their content for the event.

Event Delivery
At Lineup Ninja we think of the agenda in our platform as a ‘Single Source Of Truth’. Because we provide an agenda app, web pages for digital signage, and integrations with various other event tech platforms, clients can push the agenda to where it needs to be with just a few clicks.
This ensures the attendees’ experience of the agenda is correct and up to date across all the show’s digital assets.

Event Website

Our agenda app can be simply embedded into any website using an iFrame. You can see this in action here: Event Tech Live and Event Sustainability Live
Digital Signage
Lineup Ninja is providing the agenda for the digital signage. It works on any screen that can display a webpage. Here it is in action at last year’s event:

Entegy
This year the team at Events Industry News have partnered with Entegy to deliver the event app for attendees and exhibitors.
At their request, we built an integration and the team can now publish their 100+ sessions into Entegy with the press of a button, saving all the effort of exports and imports and guaranteeing the data is always up to date and correct.

Pigeonhole
Pigeonhole were chosen to be the Q&A provider for the events this year. We worked with Pigeonhole to integrate Lineup Ninja with their API.
This enables the AV teams to create and update the Q&A’s for all their sessions at the push of a button, and to ensure the latest data is in the right place at the right time.

In Summary…
We’re excited to be exhibiting at ETL this year, and we’re providing even more ways for the team to deliver their strategic content goals with an exceptional level of automation and quality control.
